All Conference Participants
Required Documentation - All U.S. citizens attending the cruise (including children) should have a Passport Book. Without proper documentation, no one will be allowed to board the ship. Passports can take 6 weeks or more to process, so get your passport book today if don't already have one. More details can be found at Travel.State.gov. If you are traveling internationally please consult your government to determine your required documentation.
Norwegian Cruise Lines Online Registration and Printing eDocs (Required for All)
There is an initial registration process every pariticpant must complete, which involves booking your cabin(s) on the Wireless Without Limits site. Everyone must then pay their cabin in full over the coming months if they do not pay in full up front. In the fall, there is another registration process that every particicpant must complete on the Norwegian cruise line web site. (More details will be sent out at a later date. Every participant's online registration must be completed, and every passenger's eDocs printed out prior to boarding the ship. This is a requirement for all passengers. This can only be done once the cabin(s) for a reservation party have been paid in full.
Baggage - All baggage must be able fit into the baggage scanner at the seaport terminal security checkpoint. This scanner is roughly the size of an airport security scanner. Bringing bags that are too large to fit through the scanner will cause delays and may prevent you from being able to bring the items directly onboard with the rest of your baggage. The items may need to be delivered to your cabin after a delay. Baggage tags are in the NCL information package most of us will receive before the cruise. If you have not received an NCL information package, simply print off baggage tags during your online registration process. (It is recommended to put clear tape over them to strengthen them during travel.)
Paying for Expenses on the Ship - Each cabin will be required to present a credit card for payments incurred during the cruise. Throughout the course of the cruise, your purchases are billed to credit card. It is recommended that you review all charges with NCL the last evening of the cruise as to ensure a smooth morning departure the next day.
Internet Access - Various internet options are available for a premium. Wi-Fi is available throughout the ship. The Norwegian Dawn is also equipped with a 24 hour Internet Café, so you can give your friends and family back home your personalized email address (printed on your cruise ticket) and stay in touch throughout your cruise. Read about specific internet options and rates.
Cellular Service - Most cellular companies offer coverage over the Maritime Cellular Network which is accessible aboard the Norwegian Dawn. Call your cellular provider for availability and cost. For more information regarding communications onboard the ship, read here.
Emergency Contact Information - The Norwegian Sky guests can be contacted onboard by calling 1.888.NCSHIPS (1.888.627.4477) from the USA. For the rest of the world please dial 1.732.335.3280. Callers must select the option for Norwegian Sky, then enter the credit card iformation. When guests are contacted with the ship via satellite, they can be reached directly, if they are in their stateroom. If not, a message about the incoming call will be delivered to their stateroom and then they can call back the shore via satellite. NCL guests can also make and receive calls, send and receive text messages and read emails on their own cell phones and mobile devices just as they do on land when the ship is at sea with the Freestyle Cellular Service (check with your service providers for applicable rates).
Service Charges and Tips - NCL by default will automatically charge $12/person per day to your cabin bill during the cruise for service charges (housekeeping) for anyone 3 years old or older in your cabin. If you feel you service was sub-par you can object and pay less. Tips are different, and are explained thoroughly on the NCL web site, so please read here.
Dinners - We have reserved seating at two different restuarants to accomodate our large conference group. Some conference participants will choose eat dinner together during this time, but there is no obligation. You may eat when and where you like for all meals, including the specialty restaurants. NCL refers to this as "Freestyle Dining." Just be aware that you may have a wait at other restaurants or times.
SPECIALTY RESTAURANTS: If you choose a specialty restaurant, there is an additional charge ranging from approximately $10 - $30/person to dine. If you are staying in a Suite, you may book advance reservations now, and should do so asap by calling NCL at (866) 234-7350. Otherwise, make sure to book your reservations as soon as you board the ship. To clarify which restaurants are considered "specialty" restaurants, contact NCL directly at (866) 234-7350. Dress Code for Dinner - Think business casual. Suit and tie are not required, even at the specialty restaurants. However, guests may be refused entrance if wearing cut off jeans, bathing suites, or other inappropriate clothing. There is no black tie and evening gown event onboard.
Beverages - Water, tea, juice, coffee, and milk are free while dining onboard. Alcoholic drinks are not free, nor are any other drinks ordered throughout the ship outside of the dining areas. You may purchase an "Endless Soda Fountain," which is a pre-paid card that NCL offers. This card should be purchased upon boarding the ship.

Thanks to our reception sponsors, there will be a FREE open bar for all attendees and their guests during the exhibit hall receptions, which will be held most if not all evenings from 7:30 pm - 9:30 pm. Make sure to thank our reception sponsors!
Excursions - More information will be released at a late date regarding island excursions.
Bon Voyage Gifts - Gourmet fare & treats, flowers, spa gift certificates, on-board credits/casino credits, wines, party packages, and romance packages are all offered by NCL. Learn more or call (866) 234-7350 to make arrangements from NCL.
Program Schedule - Other than the exhibit hall receptions (see below), specdific details have not yet been released regarding our program, although you can see what different kinds of activities are tentatively planned for the program by reading here.
Exhibit Hall Receptions - Exhibit Hall Receptions will be held most if not all nights in the Outrigger Lounge on deck 11 from 7:30 pm - 9:30 pm. Vendors will man tables and be available for Q & A, and may also have product information and demo units on display. A FREE open-bar will be included for all participants (attendees and their guests). Minors are not permitted at the Exhibit Hall Receptions. If you are bringing children under 18 on the cruise and need childcare during this time please call NCL at (866) 234-7350 and ask about the Kid's Corner, the video arcade, and The Zone.
Vendors
Exhibitor Booth - Booths will have enough space for two attendants to sit behind the table, and will include:
- Table
- Tablecloth
- Graphic for table
- Chairs
- Power may be supplied if requested ahead of time. Please notify the Conference Coordinator by Sept. 24th if your booth will require power.
- WiFi Internet is available at a premium from NCL, but is very slow. We do not suggest relying on the internet for your booth set up, although you may want to have a plan for your personal use in your cabin.
Manning Your Booth - Please plan to have at least one staff person at your booth at 7:15 pm nightly to set up in the Outrigger Lounge on deck 12. When your staff arrives at your table, your graphic and chairs will be in place. The Exhibit Hall Receptions will be held in the Outrigger Lounge most if if not every night from 7:30 pm - 9:30 pm. A FREE open-bar will be included for all attendees, vendors, and all their guests as well, so expect a big turnout.
Additional Booth items - We strongly encourage you to bring a demo "shell" unit or two. Marketing flyers or other swag is a good idea. DoubleRadius will be providing a conference tee shirt to everyone, so bringing additional tee shirts is not recommended, not to mention they make for heavy, bulky boxes. Whatever you choose to bring, you must be able to transport it with you as you travel to and from the event. See also Shipping/Transporting Booth Items below.
Shipping/Transporting Booth Items- There is no shipping directly to the cruise ship, so whatever you bring and take away must be able to be transported with you on your person, or shipped to and from your hotel, then carried with you on and off the ship. Think light and easy to carry. Try to limit yourself to bringing one or two additional boxes/items per person that you carry on and off the ship in addition to your personal luggage. Otherwise, you could face delays in boarding or challenges getting all your items through customs.
